Installation, Parts & Equipment Coordinator

At Aire Serv, Mr. Rooter and Dryer Vent Wizard, our Installation, Parts & Equipment Coordinator is one of the most important positions in our company. You'll serve as the hub that connects our sales team, installation crews, warehouse, vendors, and customers—making sure every HVAC installation is fully prepared, scheduled correctly, and completed with excellence.

What You'll Be Doing

As our Installation Coordinator, you'll manage every step after a customer says "Yes."

Your responsibilities include:

  • Scheduling HVAC system installations
  • Coordinating technicians, installers, warehouse staff, and sales professionals
  • Ordering and tracking equipment and parts
  • Ensuring every job is fully prepared before installation day
  • Communicating with customers throughout the installation process
  • Preparing permits, AHRI documentation, warranty registrations, and customer packets
  • Registering equipment and maintaining accurate records in ServiceTitan
  • Verifying invoices and documentation for accuracy
  • Completing post-installation follow-up calls to ensure customer satisfaction
  • Assisting with financing paperwork and manufacturer warranty processing
  • Supporting our Customer Service Team during peak seasons

Qualifications

Preferred qualifications include:

  • Experience in HVAC, Plumbing, Construction, Home Services, or Project Coordination
  • ServiceTitan experience is a plus
  • Experience with permits, scheduling, or logistics is helpful
  • Strong computer and administrative skills
  • Excellent written and verbal communication
  • High level of organization and accuracy
